About the Role 

 

Reporting to the CEO, the Executive Assistant will be responsible for a full suite of executive assistant support for the CEO and the Senior Leadership Team (SLT), enabling them to deliver in an effective and efficient manner.   

 

This role requires a highly organised, proactive individual who can efficiently manage the CEO’s calendar and optimise their time along with the time with Senior Leaders in the business as they develop and deliver on organisational strategy, in line with the wider Bauer Media Group. They successful candidate will be an experienced and highly collaborative administrator, who works well with others at all levels, always getting the right stuff done, in the right way, at pace.

What you will do: 

  • Calendar and schedule management: coordination and management of CEO and other allocated executives’ calendars, including scheduling, setting agendas, coordinating and minuting meetings for the CEO and SLT.  
  • Supporting and planning logistics for business led events arranging any required logistics and resources  and coordination with Marketing and Events teams across the country 
  • Travel arrangements:  Plan/coordinate international travel arrangements, including flights and accommodation itineraries.  
  • Communication and correspondence: Managing incoming communications, as required, providing prompt responses or redirecting to appropriate parties 
  • Draft and circulate large group internal and external correspondence, presentations and reports for CEO and SLT members 
  • Relationship management: developing and maintaining strong trust-base relationships with key internal and external stakeholders, with effective communication and collaboration.  
  • Information management: maintain up-to-date records and files, ensuring critical documentation is well organised and easily-accessible, with confidentiality maintained 
  • Support large scale projects as required

What you will have:  

  • At least 3 years working as a Personal Assistant, Executive Assistant in a busy organisation 
  • Demonstrable experience working with a diverse experienced group of Senior Leaders (C-suite) internally and externally.  
  • Natural collaborator and effective relationship builder at all levels  
  • Brilliant communicator, written and spoken with an ability to listen and understand and read the room  
  • Outstanding organisational and time management skills, with the ability to multitask and prioritise competing demands effectively  
  • Flexible and able to accommodate last-minute changes and adapt to dynamic work environments  
  • High level of discretion and confidentiality when handling sensitive information  
  • Ability to thrive under pressure and maintain a positive attitude in a fast-paced setting  
  • Technology  
  • Highly proficient with the Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams) 
  • Competent at working with tech colleagues to troubleshoot IT issues  
  • Data management: comfortable with handling and organising large volumes of data effectively.  
  • Ideally, proficient at conducting online research  
  • Ideally, capable of supporting on internal and external communications, e.g. email announcements; LinkedIn updates

This is a full-time permanent role, based in Marconi House, Digges Lane, Dublin 2. On site working will be required at least 4 days per week.
