Content Team Co-ordinator
The focus of the role:
Bauer Media is looking for a Content Team Coordinator to provide PA support to 4 Brand & Content/Design & Production Directors, as well as supporting the London content teams with general office co-ordination, enquiries and administration.
This role requires a highly organised, proactive and energetic individual who can efficiently manage the Directors calendars and effectively optimise their time.
This is a unique and varied role where you will also be pivotal to ensuring a smooth working environment for our creative and passionate content teams and providing them with accurate and effective administrative support. The successful candidate will be an experienced and collaborative coordinator, who thrives working with people at all levels.
There may also be an opportunity to get involved with content creation and supporting teams at events and shoots.
This role is based in our London office 3 days a week across Monday – Thursday, with Friday working from home.
Key Responsibilities:
- PA duties for the Brand & Content Directors, including but not limited to: diary management, arranging meetings, organising travel bookings and logistics, assisting with preparing materials for meetings, supporting with general administration, supporting new starter inductions, submitting expenses, processing invoices, and raising POs using Bauer Media's finance systems.
- Oversee daily co-ordination of the London office for the content teams to be an efficient and welcoming environment. Liaising with the Bauer Facilities team where applicable.
- Acting as a key point of contact for the London Publishing office alongside the PAs and Editorial Assistants; assisting with large meetings, workshops and training sessions. Arranging lunch and refreshments when required, booking rooms and equipment, team communications, general troubleshooting queries.
- Support implementation of company policies and procedures by liaising with the facilities team, Managing Editors, PAs and Editorial Assistants.
- Meeting and greeting clients and visitors to the office for meetings, taking guests to meeting rooms, organising refreshments.
- End-to-end coordination of team socials and events across London Publishing alongside PAs and Editorial Assistants.
What you'll bring:
- Diary management experience at Director level - scheduling, setting agendas, managing multiple busy diaries.
- Co-ordinating UK & International travel logistics. Travel booking experience is desirable.
- Experience maintaining records and files, ensuring documentation is well organised.
- Confident user of Microsoft packages, especially PowerPoint and Word. Knowledge of Excel is desirable.
- Experience supporting varied teams in an office setting.
- Experience with office co-ordination is desirable.
- Previous experience within media would be advantageous.
- Meticulously organised and detail focused with the ability to multi-task and prioritise workload.
- Problem-solving skills - adapt at troubleshooting issues and finding solutions.
- Natural collaborator and effective at developing and maintaining strong relationships with key internal and external stakeholders.
